This notice describes the limited information handled through the public Sovereign Protocol website and direct consultation inquiries.

Website privacy notice

This public website does not collect member passwords, accept payments, publish reviews, or use advertising trackers. The Member Sign In page may send an existing member to the separately operated Entral application, where authentication and authorized organization access are handled. This site may provide a clearly identified OpenAI-powered website concierge and privacy-minimal operational telemetry.

Information you choose to provide

If you use the private inquiry form, contact Sovereign Protocol by email, or use the connected scheduling service, we receive the information you include, such as your name, role, contact details, company, location, approximate scale, industry, website, existing software, requested setup type, preferred contact method, meeting time, and description of an operating concern.

How information is used

Information is used to respond to inquiries, evaluate whether a potential engagement is appropriate, arrange conversations, protect operations, and meet applicable recordkeeping obligations. Inquiry information is not sold.

Client discretion

Sovereign Protocol does not publish client names, public reviews, testimonials, or identifiable engagement details without explicit permission. Necessary business, contractual, security, financial, and legal records may still be maintained and protected.

Technical information

Website hosting, security, and Microsoft Application Insights may process limited technical information, such as IP address, device or browser information, request timestamps, page paths, declared button events, referring origin and campaign context, performance measurements, and security events. Referrer paths and query strings are discarded. Telemetry cookies and automatic capture of inquiry or chat content are disabled.

Aggregate website measurement

The site records aggregate daily page-view counts by public route to understand whether the website is operating and which public information is being used. This first-party measurement does not set analytics cookies or store visitor identifiers, IP addresses, user agents, query strings, or referrers. Aggregate traffic reports are restricted from public access.

Inquiry and campaign context

The site may hold the initial landing page, industry branch, issue page, referring page, and standard campaign parameters in session storage for the current browser session. Query strings and fragments are removed from stored landing and referring pages. This limited context may accompany a form submission, be appended to the existing Microsoft booking link, or be included with declared Application Insights page and button events. It is used to preserve the operating concern and evaluate campaign performance; confidential form content is not placed into analytics events.

Inquiry storage and notification

Accepted form inquiries, the selected remote, on-site, general, unsure, or Entral Base classification, and the required privacy acknowledgment are stored in the site's protected first-party database. An environment-controlled server handoff may send the same inquiry to an approved internal Microsoft workflow or CRM endpoint. Notification credentials are never exposed to the browser, and stored inquiry reports require bearer authentication.

Entral member access and billing

The public Member Sign In page does not collect or store Entral credentials. When configured, it links to the trusted Entral application origin. Online Entral billing and checkout are disabled on this website unless a separately approved provider, verified subscription lifecycle, tenant authorization, and required policy pages are implemented and approved.

Website concierge

If the website concierge is enabled and you submit a question, OpenAI processes that single question to answer from Sovereign Protocol's public website information. API response storage is disabled, and Sovereign Protocol does not save the question or answer. The concierge has no access to client records or internal systems, does not maintain conversation history, and cannot create leads, schedule meetings, approve scope or pricing, sign contracts, or make commitments.

Only an aggregate daily request count and the time of the most recent request are stored to enforce a site-wide usage limit. No visitor identifier, IP address, question, answer, or conversation identifier is stored with that count.

Retention

The website does not retain concierge questions or answers. Aggregate page-view and concierge usage counts may be retained for operational reporting and cost control. Information submitted separately by email or through the Microsoft booking service may be retained as needed to respond, schedule a consultation, protect operations, and meet legal, security, contractual, and recordkeeping requirements.

Data minimization

Do not submit passwords, authentication codes, financial account credentials, regulated personal data, or sensitive client records through an initial inquiry. If an engagement requires protected evidence, an approved method will be established separately.
